As the Secretariat for the Asian Society of Pediatric Dermatology (ASPD), the AveLIVE team had the privilege of supporting the society in overseeing all administrative matters, as well as managing all public outreach programmes and educational webinars throughout the year. We kicked off the year with the first virtual ASPD Education Webinar of 2024 - “Atypical Cutaneous Infections in Children”, co-chaired by Dr July Rahardja and Dr Chong Jin Ho.

Overall branding
We were tasked to explore suitable event themes, key visuals and palettes that could best portray the event’s objectives while staying relevant to key colours from ASPD brand guidelines. Our design team crafted visually engaging materials, including logos, color schemes, and thematic elements, that were consistently applied across all promotional materials.
Social Media Posting & Management
Once the event branding and key visuals have been finalised, we standardise all collaterals and designs to ensure the event publicity has a consistent front. This includes EDMs, posters and social media creatives as we also managed ASPD’s social media platforms, posting updates to build anticipation and engage with the community leading up to the event.
Speaker Liaison
Speaker Liaison & Briefing
We reached out to each speaker well in advance to collect bios, headshots, presentation topics, and before the event, AveLIVE conducted detailed briefings covering the webinar’s objectives, the flow of the event, and technical guidelines to ensure that every speaker was comfortable and confident.
Preparation of Run of Show and Chairperson Materials
AveLIVE prepared a comprehensive run of show document that outlined every detail of the event, including timing, transitions, and roles. Additionally, we provided the chairperson with all necessary materials, such as speaker introductions, key points for discussion, and cues for interactive segments, ensuring a smooth and professional flow.
Conduct dry-run
In the days leading up to the webinar, AveLIVE conducted a full dry-run with chairpersons. This rehearsal allowed us to fine-tune the event flow, and address any last-minute concerns. The dry-run was essential in ensuring that everyone was comfortable with their roles and that the event would proceed without technical hiccups.
Webinar Management
On the day of the event, AveLIVE took on the role of the webinar host, managing all aspects of the live event. Our team monitored the technical platform to ensure that everything ran smoothly, from the opening remarks to the closing statements. We handled participant entry, monitored the chat and Q&A sections, and provided real-time support to the speakers and attendees.
To keep the audience engaged, AveLIVE integrated interactive elements into the webinar. We designed and launched polls on the cases presented during the session, allowing participants to adopt and showcase what they have learnt in the webinar in real time.
Post-event
Collating Feedback
After the webinar concluded, AveLIVE collected feedback from participants to assess the event’s success and identify areas for improvement. We designed a comprehensive survey that was displayed upon exiting the webinar to encourage better response rate, asking for their thoughts on the content, speakers, and overall experience.
CME accreditation application and management
AveLIVE managed the CME accreditation process, from the initial application to the distribution of certificates. We ensured that all necessary documentation was submitted and that participants received their CME credits promptly.
